This policy explains what personal information Save Energy Cost Ltd (“we”, “us” or “our”) collects, why we use it, who we share it with and the rights you have over it.
We handle personal information in accordance with applicable UK data protection law, including the UK GDPR and the Data Protection Act 2018, as amended.
1. Who we are

An energy supplier or another organisation may also act as a separate data controller when it processes your information for its own purposes. Its own privacy notice will apply to that processing.
2. Information we collect
The information we collect depends on how you interact with us and which services you use. Business information may also be personal information where it identifies an individual, including a sole trader or business contact.
| Category | Examples | Sources |
|---|---|---|
| Contact details | Name, job title, business address, email address and telephone number. | You, your employer or an authorised representative. |
| Business details | Company name, company number, trading address, business type and number of sites. | You, your company, public business records and, where relevant, credit reference agencies. |
| Energy information | Uploaded bills, MPAN or MPRN numbers, meter details, energy usage, billing history, supplier details and contract terms. | You, your authorised representatives and, where authorised or otherwise lawfully permitted, suppliers, metering and distribution organisations. |
| Financial information | Payment information, credit-check results and bank details where needed for an agreed service or payment arrangement. | You and relevant payment, supplier or credit reference organisations. |
| Communications | Emails, enquiries, conversation notes, complaints and call recordings where recording is used. | You and our records of communications with you. |
| Technical information | IP address, browser and device information, website activity and cookie information. | Our website and related technologies, subject to your choices where consent is required. |
Please only provide information you are authorised to share. Avoid uploading unrelated documents or unnecessary personal, financial or sensitive information.
Sensitive information and additional support
We do not routinely ask for sensitive information such as health details. If you choose to share information about a support need, we will limit its use to the relevant purpose and identify an appropriate lawful basis and additional legal condition. Where required, we will ask for your explicit consent.
3. Bill uploads and AI-assisted processing
If you use our bill-upload feature, we process the document you provide to identify information relevant to your business energy comparison. This may include your business address, supplier, meter numbers, energy consumption, rates and contract information.
Where AI-assisted document processing is used, it helps extract and organise information from your bill. Extracted information can contain errors and should be checked before it is used to request or agree an energy contract.
- We use relevant bill information to support the comparison or service you request.
- Document-processing and technology providers may process information on our behalf where needed to deliver the feature.
- Entering your details manually is an alternative to uploading a bill.
- Uploading a bill does not itself authorise us to enter into an energy contract on your behalf.
Any use of uploaded information for a separate purpose, such as training an AI model, requires its own assessment, appropriate transparency and a valid lawful basis. It is not automatically authorised by your decision to upload a bill.
4. How and why we use your information
We must have a lawful basis for using personal information. The basis depends on the purpose and your relationship with us.
| Purpose | Lawful basis |
|---|---|
| Responding to enquiries, preparing comparisons and providing quotes you request. | Steps at your request before entering a contract with you, or legitimate interests in responding to business enquiries where you represent an organisation. |
| Providing agreed services, arranging contracts and carrying out authorised instructions. | Performance of a contract with you, or legitimate interests in delivering services to your organisation. A Letter of Authority records your authorisation but is not itself a data protection lawful basis. |
| Managing customer relationships, renewals, records and ongoing support. | Contract where applicable, and legitimate interests in administering and supporting our services. |
| Investigating complaints and resolving disputes. | Legitimate interests in resolving concerns and establishing or defending claims; legal obligation where a specific duty applies. |
| Meeting applicable legal duties and responding to lawful requests. | Legal obligation where a relevant duty applies. |
| Preventing fraud and supporting relevant credit checks. | Legitimate interests in preventing fraud and assessing relevant commercial risk, or legal obligation where applicable. |
| Sending marketing about our services. | Consent where required, or legitimate interests where permitted by applicable marketing rules. |
| Maintaining website security and improving our services. | Legitimate interests in operating a secure and effective service, with consent for cookies or similar technologies where required. |
Where we rely on legitimate interests, we assess whether the processing is necessary and balance our interests against your rights and freedoms.

The rules for marketing to companies can differ from those for sole traders and certain partnerships. We apply the rules relevant to the recipient and communication channel. You can object to direct marketing at any time using an unsubscribe option or by emailing info@saveenergycost.co.uk.
5. Who we share information with
Where necessary for a relevant purpose, we may share information with:

- Credit reference and fraud prevention agencies where relevant.
- Hosting, IT, document-processing, AI, email, telephone and customer relationship management providers supporting our services.

- A prospective buyer or successor where necessary in connection with a business sale or restructuring, subject to appropriate confidentiality and data protection safeguards.
We limit sharing to information relevant to the purpose. Providers processing information on our behalf must be subject to appropriate contractual requirements.
6. International transfers
Some service providers may process personal information outside the UK. Where this involves a restricted international transfer, we must put an appropriate transfer arrangement in place.
Depending on the destination and circumstances, this may include UK adequacy regulations or approved contractual safeguards, such as the UK International Data Transfer Agreement or the UK Addendum to the European Commission’s standard contractual clauses, together with any required assessment and additional measures.
Contact us if you would like information about safeguards relevant to your personal information.
7. How long we keep information
We keep personal information for as long as needed for the purpose for which it was collected, taking account of applicable legal requirements, complaints, disputes and relevant limitation periods. Different records may have different retention periods.
| Information | Retention criteria |
|---|---|
| Customer and contract records | As needed to provide and administer services, meet applicable record-keeping duties and deal with potential claims. |
| Uploaded bills and extracted information | As needed for the requested comparison, associated services and any justified record-keeping or dispute purpose. |
| Call recordings, where used | According to the recording purpose, with longer retention where justified for a complaint or dispute. |
| Complaint records | As needed to investigate, resolve and evidence the complaint and meet relevant legal or dispute requirements. |
| Marketing preferences | While relevant to our marketing activity. A limited suppression record may be retained to ensure we respect an opt-out. |
| Cookies and analytics | According to the relevant technology, purpose and settings described in our Cookie Policy. |
When information is no longer required, it should be securely deleted or anonymised in accordance with our retention arrangements.
8. Keeping information secure
We apply technical and organisational measures appropriate to the nature of the information and the risks involved. These include limiting access to people who need it and requiring appropriate safeguards from providers handling information on our behalf.
No internet transmission or storage system can be guaranteed completely secure. If a personal data breach occurs, we will assess it and notify the Information Commissioner’s Office and affected individuals where the law requires us to do so.
9. Your data protection rights
Depending on the circumstances and applicable law, you may have the right to:
- Be informed about how your information is used.
- Access your personal information.
- Correct inaccurate or incomplete information.
- Request erasure in certain circumstances.
- Restrict processing in certain circumstances.
- Object to processing based on legitimate interests and to direct marketing at any time.
- Receive or transfer information where the right to data portability applies.
- Withdraw consent where processing relies on it, without affecting the lawfulness of earlier processing.
- Benefit from applicable safeguards where significant decisions involve solely automated processing.
Making a privacy request
Email info@saveenergycost.co.uk with the subject “Privacy request” and explain what you would like us to do.
We normally respond within one month. Where the law permits extra time, we will explain the extension. We may need to verify your identity. Requests are normally free of charge.
These rights are subject to legal conditions and exemptions. If we cannot fulfil a request, we will explain why and tell you about your options.
11. Call recording
Where we record telephone calls, we will tell you at the start of the call. Recordings may be used for relevant purposes such as quality monitoring, training, maintaining accurate records or resolving disputes.
You can ask about the use of recordings and any available alternative communication methods.
12. Complaints about your information
If you are concerned about how we handle your personal information, please contact us at info@saveenergycost.co.uk. This gives us an opportunity to investigate and respond.
You also have the right to complain to the UK Information Commissioner’s Office:
